Privacy Policy
This policy explains what personal data Elephantus DMCC collects, why we collect it, how we protect it, and the rights you have over it — across this website and our recruitment process.
Elephantus DMCC respects your privacy. We collect only the data we need, use it only for the purposes described here, and never sell it. This policy applies to elephantus.ae and to any data you share with us by email or through our application forms.
01 Who We Are
Elephantus DMCC (“Elephantus”, “we”, “us”, “our”) is a proprietary trading firm registered with the Dubai Multi Commodities Centre (DMCC) in Dubai, United Arab Emirates. We are the controller responsible for the personal data described in this policy.
For any privacy question or request, contact us at trading@elephantus.ae.
02 Information We Collect
We collect personal data that you provide to us directly, and a limited amount of technical data collected automatically when you visit the website.
Information you provide
- Contact data — your name, email address and phone number when you contact the desk or enquire about working with us.
- Application data — when you apply for a role, the information you enter in our application form, including professional history, trading experience, track-record figures, strategy and risk descriptions, and any documents (CV, performance records) you send us by email.
- Correspondence — the content of emails and messages you send us, and our replies.
Information collected automatically
- Technical data — basic information such as IP address, browser type and the pages you view, which may be processed by our hosting and infrastructure providers to deliver and secure the website.
We do not intentionally collect special-category data. Please do not send us sensitive personal information that we have not requested.
03 How We Use Your Information
We use personal data to:
- respond to your enquiries and communicate with you;
- assess and process job applications and manage our recruitment;
- operate, maintain and secure the website;
- keep records and comply with our legal and regulatory obligations.
We do not use your data for automated decision-making that produces legal or similarly significant effects, and we do not sell your personal data to anyone.
04 Legal Bases for Processing
Where applicable data-protection law (including the UAE Personal Data Protection Law and, where relevant, the EU/UK GDPR) requires a legal basis, we rely on one or more of the following:
- Consent — where you have given it, for example by submitting an application or contacting us;
- Legitimate interests — to run and secure our business, evaluate candidates and respond to enquiries, balanced against your rights;
- Steps prior to a contract — to consider you for a role you have applied for;
- Legal obligation — where we must process data to meet regulatory or legal requirements.
05 Job Applicants
If you apply for a role, we process the information in your application to evaluate your suitability and, if relevant, to progress you through our hiring process. Documents such as CVs and track-record evidence are sent to us by email at career@elephantus.ae and are handled by the hiring team only.
If we do not proceed with your application, we may retain your details for a limited period in case a suitable opportunity arises, unless you ask us to delete them sooner.
06 Sharing & Disclosure
We treat your information as confidential and disclose it only:
- to service providers who process data on our behalf under appropriate safeguards (see Section 07);
- to professional advisers such as legal, accounting or compliance advisers, where necessary;
- where required by law, regulation, court order or a competent authority;
- to protect the rights, property or safety of Elephantus, our people or others.
We do not sell, rent or trade personal data.
07 Third-Party Services
The website relies on a small number of reputable third-party services that may process limited data on our behalf:
- Form processing — our application form is submitted through a third-party form provider that delivers your submission to us by email.
- Web fonts — typography is served by a third-party font provider, which may receive your IP address as part of delivering those fonts.
- Hosting & email — providers that host the website and handle our email correspondence.
Each provider processes data under its own terms and security measures. We use only providers we consider to apply appropriate protections.
08 Data Retention
We keep personal data only for as long as necessary for the purposes set out in this policy, or as required to meet legal, regulatory or record-keeping obligations. When data is no longer needed, we delete or anonymise it. You may ask us to delete your data at any time (see Section 11).
09 Data Security
We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration, and we limit access to those who need it. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Please avoid sending us highly sensitive information by unencrypted email.
10 International Transfers
Because some of our service providers operate outside the United Arab Emirates, your data may be transferred to and processed in other countries. Where we make such transfers, we take steps to ensure your data continues to receive an appropriate level of protection consistent with applicable law.
11 Your Rights
Subject to applicable law, you may have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- object to or restrict certain processing;
- withdraw consent where processing is based on consent;
- request a copy of your data in a portable format.
To exercise any of these rights, email trading@elephantus.ae. We will respond within the timeframe required by applicable law. You may also have the right to complain to your local data-protection authority.
12 Cookies
Our website does not use advertising or tracking cookies. Any cookies or similar technologies used are strictly necessary to deliver the site or are set by the third-party services described in Section 07. You can control cookies through your browser settings; blocking some may affect how the site functions.
13 Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or in the law. The “last updated” date at the top of this page shows when it was last revised. Material changes will be posted on this page.
